How to declare an inbound shipment (ASN)

An ASN (Advance Shipping Notice) tells our Yiwu warehouse what is coming, so receiving staff can count, QC-photograph and shelve your cartons within 24 hours of arrival. Declaring one takes about ten minutes.
1Open Inbound → New shipment
In the portal, go to Inbound and click New shipment. Each ASN gets a reference like ASN-2419 that our dock team scans on arrival.
2Fill in carrier & tracking
Enter the carrier (Debang, YTO, or "supplier truck" for factory deliveries), the tracking or waybill number, and the expected arrival date. This is how we match arriving cartons to your account before a single box is opened.
3Add SKU lines
Add one line per SKU with the expected units and carton count — for example CD-VASE-RIB-18 × 144 in 2 cartons. Receiving counts against these lines, and any shortage or overage is flagged with photos in the QC report.
4Download carton labels
Click Download labels to get a PDF with one label per carton, and send it to your supplier before the goods leave the factory.
Your merchant code must appear on every carton. Unlabeled cartons go to a holding area for manual identification, which adds 1–3 days before shelving. The generated labels include your code (e.g. CD-M0417) and the ASN reference automatically.
5Submit and track
Submit the ASN and follow its status from Declared to In transit, Receiving and Shelved. QC photos of the opened cartons attach to the record at the receiving stage — usually within 24 hours of dock arrival.
